ScanStudio

Terms of service

Last updated October 25, 2026

These terms are the agreement between you and ScanStudio when you use the app. By signing in, you agree to them. Please also read our privacy policy, which explains how we handle your information.

Who can use ScanStudio

  • You must be 18 or older.
  • Keep your account details accurate and your sign-in to yourself. You're responsible for what happens in your account.
  • If you use ScanStudio for a business, you confirm you're allowed to act for that business.

Your receipts stay yours

Everything you add (photos, PDFs, the details read from them, your corrections and labels) belongs to you, or to the business whose workspace it's in. You give ScanStudio permission to store, read, check, copy and display it only to provide the service to you, as described in the privacy policy. Only add documents you have the right to use.

ScanStudio helps you organize; it isn't tax advice

  • ScanStudio reads receipts with automated tools, including AI, and checks them against Canadian tax rules. These tools can make mistakes. Review what was read before you confirm a receipt or rely on it.
  • ScanStudio doesn't give tax, accounting or legal advice. You (and your accountant) decide what to claim. Tax rates and rules we use are kept up to date as best we can, but please check anything important with the CRA or a professional.
  • Keeping your records is your responsibility. ScanStudio keeps a copy in your own storage for this reason; keep that folder safe. Photos leave our storage after the period you choose, and only once a checked copy is in your storage.

Using ScanStudio fairly

Please don't:

  • upload fake or altered receipts, or use ScanStudio for fraud or anything illegal;
  • try to reach accounts, workspaces or data that aren't yours;
  • disrupt or overload the service, or copy, resell or take apart the app;
  • upload harmful files.

We may suspend or close an account that breaks these rules, and will tell you why unless the law or safety prevents it.

Business workspaces and teams

  • The owners of a business workspace decide who joins it, their roles and its settings, and can remove people.
  • Receipts in a business workspace belong to the business, also after a team member leaves.
  • Your personal workspace stays private to you; joining a business doesn't share it.

Price

ScanStudio is free during early access. If we introduce paid plans, we'll tell you in advance, and you'll choose whether to continue. Nothing is charged without your agreement.

The service itself

  • We work to keep ScanStudio available and your data safe, but we can't promise it will always be uninterrupted or error-free.
  • We may add, change or remove features. If a change takes away something important, we'll tell you ahead of time when we can.
  • ScanStudio never moves money: it doesn't make payments or transfers.

Ending

You can stop using ScanStudio at any time, export your receipts (Excel, CSV, audit PDFs) and ask us to delete your account. If ScanStudio ever closes, we'll give you notice and time to export.

Responsibility

As far as the law allows, ScanStudio isn't responsible for indirect losses (such as lost profits, penalties or interest) arising from use of the service, including mistakes in reading or checking receipts, and our total responsibility is limited to what you paid us in the 12 months before the claim. Nothing in these terms takes away rights you have under consumer protection law.

Changes, law and contact

  • If these terms change in a way that matters, we'll tell you in the app before the change takes effect.
  • These terms are governed by the laws of Ontario and the federal laws of Canada that apply there.
